CBAPPS 2.08: Graduate programs in the McCoy College of Business.

POLICY STATEMENT

This policy addresses the administration, management, program improvement, and program assessment of McCoy College graduate programs.

1. GRADUATE PROGRAM ADMINISTRATION

A. Leadership
i. The department chair where each specialized graduate program is housed will appoint, with the approval of the college dean, a Graduate Academic Program Coordinator to administer the program.  The college dean will appoint the Graduate Academic Program Coordinator for any college-wide graduate programs. All appointments must be forwarded to Faculty and Academic Resources.
ii. Typically each program’s Graduate Academic Program Coordinator will also serve as the Graduate College’s Graduate Advisor for their graduate program.  The Associate Dean for Graduate Programs will serve as a co-graduate advisor for all graduate programs in the college.
iii. As needed, the department chair may recommend the appointment of a Graduate Academic Advisor, with approval of the college dean.
iv. The Graduate Policies and Curriculum Committee (GPC) is responsible for the general oversight of all graduate programs in the McCoy College.
v. All Graduate Academic Program Coordinators and Graduate Advisors must be members of the graduate faculty.

B. Academic Program Coordinator Duties typically include (see AA/PPS 04.01.25):
i. Ensure faculty affiliated with the program are involved in decisions regarding the content, quality, and effectiveness of the program and curriculum
ii. Manage the ongoing review of curriculum, marketable skills, and program requirements
iii. Coordinate the development, administration, and timely submission of program outcomes assessments and reports

C. Graduate Advisor Duties typically include (see http://www.gradcollege.txstate.edu/faculty-staff/guide.html): 
i. Serving as program liaison with the Graduate College
ii. Submitting admission recommendations
iii. Initiating degree audit changes
iv. Coordinating program recruitment and retention initiatives 
v. Coordinating graduate assistantships with the department chair
vi. Reviewing curriculum with program faculty
vii. Coordinating comprehensive examinations
viii. Serving on and/or chairing McCoy College and Graduate College committees
ix. Supporting program research initiatives
x. Facilitating internal and external program review with the department chair
xi. Advising and mentoring students as they work toward the completion of degree requirements

D. LINKS AND ROLES WITH THE GRADUATE COLLEGE
i. Graduate Council - Representation on the Graduate Council is limited to one representative per department.  Typically, a program’s graduate advisor will serve as the department’s Graduate Council representative.  In the event that a department does not house a graduate program, the department chair will appoint a faculty member to represent that department on the Graduate Council.  In the event that a department houses multiple graduate programs, the department chair will select one of the graduate advisors from that department to represent the department on the Graduate Council.

E. MANAGING AND SERVING GRADUATE STUDENT NEEDS
i. Recruiting 
a.  In addition to Graduate College and McCoy College recruiting efforts, each Graduate Academic Program Coordinator will be responsible for recruiting students into their respective graduate program.
ii. Admissions
a. Program applicants will be evaluated by a committee of graduate faculty affiliated with the program.
b. Based on the committee’s evaluations and their own judgement, each Graduate Advisor is responsible for making the admission recommendations for their graduate program to the Graduate College in a timely manner.
iii. Graduate Assistantships
a. In consultation with the department chair, each Graduate Academic Program Coordinator is responsible for selecting students for assignment to available Graduate Assistantships.
iv. Advising
a. Advising for the graduate students will be done by the Graduate Academic Program Coordinator and/or the program’s Graduate Academic Advisor. 
v. Retention
a. Each Graduate Academic Program Coordinator is responsible for student retention.
vi. Placement
a. Each Graduate Academic Program Coordinator will work with the McCoy Graduate Career Specialist to identify potential employers for positions fitting the graduate degree.

F. GRADUATE PROGRAM IMPROVEMENT
i. Curriculum 
a. Each academic department has primary responsibility for graduate courses taught in their department.
b. Graduate Academic Program Coordinators and their graduate faculty are responsible for developing improvements in their respective graduate programs. 
c. Proposals to modify the curriculum of a graduate program will be evaluated by a committee of the graduate faculty of the sponsoring graduate program. 
d. All of the graduate faculty members of the sponsoring graduate program may vote on the proposed changes. 
e. If approved, the proposal will be forwarded to the GPC for review, coordination, and approval. 
f. Curriculum changes for all graduate programs will also follow University curriculum review procedures. 
g. The McCoy College of Business Administration Council (CBAC) is responsible for reviewing and approving proposals for graduate program improvement that are transmitted by the GPC.

G. PROGRAM ASSESSMENT
i. Accreditation Responsibilities
a. Each Graduate Academic Program Coordinator is responsible for ensuring that their degree programs are monitored for effectiveness and outcomes assessment.  
b. The results of assessment activities will be distributed in the proper format and by the applicable deadlines to the appropriate college and university committees, Institutional Effectiveness, the SACS Coordinator, the AACSB coordinator, and CBAC.

This CBAPPS has been approved by the reviewers listed below and represents the McCoy College of Business policy and procedure from the date of the document until superseded.
